Choose a chart that answers the question

Use the reader’s question to choose between a bar chart, a line chart and a table.

A spreadsheet can contain hundreds of interesting facts. A useful chart focuses on the one comparison the reader needs to make. Start with that question before choosing a visual style.

Write the question in plain language

Are you comparing categories, tracking a change or checking an exact value? These are different tasks. A chart that makes one easy can make another harder. “Which channel brought the most requests?” calls for a different view from “How have requests changed each week?”

Choose a small, relevant range in LumenSheets and check the underlying data. Confirm what one row represents, which records are included and whether a blank means zero, missing information or not applicable.

A bar chart uses length to communicate magnitude, so a truncated value axis can exaggerate the difference. A line chart emphasizes movement over an ordered sequence. Do not connect unrelated categories simply because the line looks cleaner.

Sometimes the table is the best visual. If people need to look up a particular value, a short table can be more useful than a chart that requires estimation. Clarity is a better reason to choose a format than variety.

Make the conditions visible

Give the chart a title that explains what is being counted and the period it covers. Label the units. Identify the source nearby. If the data excludes a group or has a gap, say so where the reader will see it.

Ask the agent to explain its choices, then verify them. It may interpret a blank cell or a date format differently from what you intended. A good-looking chart is not proof that the source range or aggregation is correct.

Review it without the spreadsheet

  • Can someone explain the chart without opening the source?
  • Are the units and time period visible?
  • Would a different axis or aggregation change the impression?
  • Does the export preserve labels and values?
